Privacy Policy

Objective

The objective of this policy is to outline the clubs obligations and processes in relation to the Privacy Act 1998.

Scope

This policy applies to all activities undertaken by the club in relation to members, visitors and staff.

Background

  • The club is bound to collect certain details about members and visitors as prescribed by various legislation, predominantly the Registered Clubs Act. Broadly the club is required to collect details such as name, address, identification details for visitors as well as occupation, date of birth and other contact details in order to meet regulatory requirements.
  • Members who elect to use their membership card in the clubs systems will also have other data relating to their activity stored. Use of a card is not compulsory.
  • This information is stored within the club, and it’s systems, and is only accessible to appropriate club staff for the purpose of maintaining accurate records, communicating with members and permitting entry into the club as required under various legislation.
  • We will endeavour to advise patrons of the reasons for the collection of information, via generic signage, Terms and Conditions or notices placed on club literature.
  • We will only use your information for the purposes for which you have provided/authorised it.
  • We will not disclose your details to any other organisations, except as required by law, and will seek appropriate documentation to substantiate such requests.
  • Generally patron details will be stored for a period of 7 years after the relationship has ended as required by law.
  • You may view and amend your details as stored in the clubs systems by contacting our reception, at which time you may again be required to produce suitable photo identification in order to access the data relating to your enquiry.

Procedure

  • The club may seek your permission for details not specifically required under law for the purpose of enhanced communication and/or competition entry. Such permission is voluntary and at patron discretion. The club will only use this information for the purpose for which it was intended.
  • Complaints or additional information regarding the clubs Privacy policy and processes can be obtained by contacting the clubs CEO as outlined below.
